When a new donation is uploaded to our servers a welcome email is sent to the new donor. There are multiple ways for making our welcome email a strong tool to help your new donors to see, how exceptional the work of the charity is.

Every Welcome-email consists of:
Headerimage
The header image should have a min. width of 1024px.
Variable Content
In the welcome email we can add all the information gathered on the donation form. It is also possible to have conditional rules based on the entries of the donation form. For example different texts for different sponsorship types etc.
We can customize the email with different ways of personal salutation, referring to the fundraisers name or adding a summary of the payment information and donation amount.
In the welcome email, the right of withdrawal and the data protection declaration need to be referred to, to be compliant with GDPR.
Basically anything supported by modern email clients is possible.
Footer
Add links to your social media accounts, your contact data or further information about data protection to your footer!

Pictures & Videos:
You can add as many pictures to the email as you want. There is also the possibility to include a link to a video in the mail. We do not recommend to implement the video directly to the mail, because most email providers don't support it. We add a screenshot with a playbutton, which is linked to Youtube or a landing page with videos from the charity.
If you want to use our award-winning Donor Feedback Feature, a link with the stars is included in the welcome mail. With a click on the stars, the donor is handed off directly either to the charities homepage or the page hosted by us for you. If you use the Donor Feedback Feature, we recommend not to use an additional link (eg. a link to a video) in the email, because most donors will only click on one link or call-to-action button.
Sponsor PDF
With each completed donation a summary PDF is automatically created. The PDF is a summary for the sponsor to have an overview and confirmation of the donation details. By default we add this PDF to the welcome email.
You can always add all information asked for on the form and show different bits of text depending on the answers on the form (for example: text depending on the choice of sponsorship/interest/payment method).
For this feature you have the following choices
- Do you want to send a PDF? --> we can deactivate it
- If yes, do you want to show the donor's signature on the PDF?
Setup Information
You can choose
- to use our design and simply send us the content you'd like to add
- propose design changes, send us the content and maybe a mock-up. We'll send you a proposal on how we can implement your wishes
- if you have the inhouse expertise and have already a defined CSS and HTML you'd like to use (eg. a newsletter design or other communications send out to your donors), please send us the HTML code and we will continue from there. Like this, you have a common thread through all your channels.
