Dataset anonymization

To ensure the security of your data and to comply with legal data protection requirements, personal information is automatically anonymized after a defined period of time. On this page, we explain when anonymization takes place and under which conditions it begins.
 

When does anonymization start?

The anonymization depends on how the data is exported from the system.

There are two possible ways:

• Export via the admin area (manual download)

• Retrieval via the API

If you retrieve the data via the API, the data may either be sent automatically to your system or retrieved manually, depending on your configuration. The point in time that triggers the anonymization process is the moment the retrieval confirmation is recorded.
 

Process for retrieval via the API:

1. API retrieval

2. Retrieval confirmation

3. 30 days read-only

4. Automatic anonymization

As a result, the data is typically anonymized 30 days after it has been retrieved via the API.
 

Export via the admin area (manual download)

If you export and download datasets directly from the admin area:

1. Export / download via the admin area

2. Records remain editable for 7 days

3. Followed by 30 days read-only

4. Afterwards, automatic anonymization

In this case, anonymization usually takes place 37 days after the export from the admin area.
 

What happens if an API retrieval confirmation and an admin export occur together?

If both a retrieval confirmation via the API and an export from the admin area take place, the earlier of the two timestamps determines when anonymization begins.

If both actions occur on the same day, the API retrieval confirmation takes precedence. In this case, anonymization follows the API timeline.
 

Which data is anonymized?

The following personal data is anonymized:

• First name

• Last name

• City

• Country

• Email address

• Phone number

• Mobile number

• Date of birth

• Title

• Academic title

• Signature

• Bank account data

• Gift recipients

• All additional text fields
   

Do I need to take any action?

The anonymization process is completely automatic.
You only need to ensure that you export the data in the admin area or confirm retrieval via the API in time.
